Dear Colonial Church Family,
Many of you may have read in the WF Times yesterday under "Matter of Record" the notice of an IRS lien posting against our Church. We, as your stewards and trusted fellow members, do not take these items lightly. We are disappointed that this has been made a public record and want to assure you we are working diligently to get this situation corrected. We believe the story is one of honest missteps and one that we hope you can see and understand.
The lien was placed by the IRS in the absence of their receipt of our quarterly payroll report, Form 941, for the last half of 2012 and the first three quarters in 2013. We (Colonial) have a requirement to pay our payroll taxes within three days of our payroll period. This was done on a timely payment. Our accounting department had switched to a new software in 2012 that does our payroll and informs us when and to what amount we are to make our remittance to the IRS through our bank. THIS WAS DONE on each pay period. The actual "filing" of the form 941 was to be done electronically, or so we thought. It was our misunderstanding of this seemingly simple task of printing and mailing the report. It was NOT being done electronically and we should have printed, signed, and mailed.
The IRS had all of our money that matched our liability. They just did not have the form 941 to match against the payments. They do now, and have gotten our attention! Our finance committee, through Ronnie Hamilton, had a good and healthy meeting with an IRS agent Tuesday. She could not have been more understanding and helpful. She said she would work to have the lien withdrawn and clear the matter. This is good news, but It does not help the damage to our reputation and pride that has occurred.
Our Team wants to assure everyone of our continued commitment to our financial health. We have been through a revamping of our finances and budgets over the last two years and believe we are on the right path to continue a healthy growth for years to come. We assure you that we are taking corrective action to see that these type oversights do not happen.
We are sending this email to all of you because you deserve a timely report on anything affecting your church. We regret it happened, but feel good that it is rectified.
